We collect information directly when you provide it and automatically as you interact with our Site.

A. Information You Provide to Us

• Contact & Form Data: Name, email address, phone number, and company details submitted when filling out web forms, scheduling meetings, or contacting us.
• Scheduling Information: Details provided when booking an appointment or consultation via our scheduling system (Cal.com).
• Job Applicant & Staffing Data: Professional background, resumes, employment history, and contact details submitted through our Submit a Resume form. Your resume is stored privately in our cloud storage (DigitalOcean Spaces), sent by email to our recruiting team, and recorded as a lead in our CRM (HubSpot). Our job-listings board is provided by Bullhorn (Bullhornstaffing.com).

B. Information Collected Automatically

• Usage & Device Data: IP address, browser type, operating system, referring URLs, pages visited, time spent on pages, click data, and session recordings.
• Cookies & Tracking Data: Data collected via cookies, web beacons, and pixels to enable site functionality, performance tracking, analytics, and advertising (Google Analytics, Microsoft Clarity, HubSpot, LinkedIn, Google Ads). You can turn these off on our Opt-Out Preferences page.

We use your information for the following business purposes:

• Service Delivery & Site Functionality: To host and display content via our Content Management System (Strapi) and static site framework (Astro), served by our hosting provider (DigitalOcean).
• Communication & Support: To respond to inquiries, process form submissions, and send transactional emails via our email delivery platform (Resend.com).
• Customer Relationship Management (CRM): To manage leads, contact records, and marketing workflows using HubSpot.
• Recruitment & Staffing: To review the resumes you send us and to list our job openings, which are managed in Bullhorn.
• Analytics & Performance: To monitor site traffic, analyze user interaction patterns, and improve site design and usability (Google Analytics, Microsoft Clarity).
• Marketing & Advertising: To measure advertising conversions and the effectiveness of our campaigns (HubSpot, LinkedIn, Google Ads).
• Security: To protect our forms from spam and automated abuse (Cloudflare Turnstile).

Our Site relies on third-party tools to deliver features and analyze performance. Below is a breakdown of key services integrated into our Site:

A. Website Infrastructure & Content Management

• Astro: Our front-end framework used to build and serve the website.
• Strapi: Our headless Content Management System (CMS) used to store and manage website content.
• DigitalOcean: Hosts the website and stores the files you upload, such as resumes, in private cloud storage.
• Cloudflare: Protects the Site from automated traffic. Our forms use Cloudflare Turnstile to tell people apart from bots.
• Google Fonts: Supplies the typefaces the Site is displayed in. Your browser requests them from Google when a page loads.

B. Analytics & Behavior Monitoring

• Google Analytics: Used to collect web traffic metrics, such as page visits and device types. You can opt out using the Google Analytics Opt-out Browser Add-on.
• Microsoft Clarity: Used to capture behavioral metrics like heatmaps and anonymous session recordings to help us understand how users interact with our Site. For more information, visit the Microsoft Privacy Statement.

C. CRM, Communications & Scheduling

• HubSpot: Used to store contact records, manage lead capture forms, and organize marketing communications.
• Cal.com: Used to let visitors book meetings and schedule calls. Booking takes you to Cal.com, whose own privacy policy applies there.
• Resend.com: Used as our transactional email infrastructure to reliably send emails triggered by web actions (such as form submissions or meeting confirmations).

D. Recruitment & Staffing

• Bullhorn (Bullhornstaffing.com): Provides the job-listings board on our Search Job Openings page, and is where our recruiting team manages candidate and applicant records for our staffing services.

E. Advertising & Embedded Media

• LinkedIn: The LinkedIn Insight tag measures conversions from our LinkedIn advertising.
• Google Ads: Measures conversions from our Google advertising.
• YouTube and Vimeo: Videos on our project pages are played from YouTube or Vimeo, which may set their own cookies once a video loads. They load only while Marketing cookies are allowed.

We use cookies and similar technologies provided by us and by third parties (such as Google, Microsoft, HubSpot, and LinkedIn).

Types of Cookies We Use

• Essential Cookies: Needed for the Site to work and to remember your choices. These are always on. For example, oa_privacy stores your cookie choices for one year, and Cloudflare’s __cf_bm helps keep automated traffic off the Site.
• Functional Cookies: Support extra features you can use on the Site.
• Analytics & Performance Cookies: (e.g., Google Analytics, Microsoft Clarity) Measure how the Site is used so we can improve it.
• Marketing Cookies: (e.g., HubSpot, LinkedIn, Google Ads) Connect your visits to our marketing and measure our campaigns, and let embedded YouTube and Vimeo videos load.

Functional, Analytics, and Marketing cookies are on by default. You can turn any of them off on our Opt-Out Preferences page, which also lists every cookie we use, who sets it, and how long it lasts.

If your browser sends a Global Privacy Control signal, we turn Analytics and Marketing off automatically, unless you have made a different choice on the Opt-Out Preferences page.

Clearing cookies resets your choice: your cookie choice for this Site is stored in a cookie in your browser, called oa_privacy. If you clear your cookies, use a private window, or switch to a different browser or device, the choice is gone and the default applies until you choose again: every category back on, or, if your browser sends Global Privacy Control, Analytics and Marketing off.

Note: Blocking certain cookies in your browser may affect site functionality or prevent features like forms or embedded videos from working as intended.

Depending on your jurisdiction, you may have rights regarding your personal information:

• Access: Request a copy of the personal data we hold about you.
• Correction: Request updates or corrections to inaccurate information.
• Deletion (“Right to Deletion”): Request that we permanently erase your personal data across our systems (including records stored in HubSpot, Bullhorn, or Cal.com, and any resume you submitted).

How to Submit a Request

To request access to, or deletion of, your personal data, email us at contact@openarc.net with the subject line “Data Removal / Privacy Request.”

Please include in your request:

1. Your full name.
2. The email address associated with your activity or job application.
3. A description of your request (e.g., “Please delete all stored contact info and job application records associated with my email.”)

We will review your request and act on it — including deleting the records concerned — within the timeframe required by applicable law (typically 30 days).

How Long We Keep Your Information

• Resumes: A resume you submit through our Submit a Resume form is kept for one year, then deleted automatically. If you start an upload but do not finish submitting the form, the file is deleted after 7 days.
• Resume download links: The link our recruiting team uses to download your resume expires after 14 days.
• Cookies: How long each cookie lasts is listed on our Opt-Out Preferences page. Your cookie choice itself is kept for one year.
• Other records: Contact records in HubSpot, applicant records in Bullhorn, and Cal.com bookings are kept for as long as we need them for the purpose they were collected for, or until you ask us to remove them.

We do not sell your personal information. We only share information with third-party service providers (such as HubSpot, Bullhorn, Cal.com, Resend, Cloudflare, and our hosting partner DigitalOcean) to the extent necessary to deliver our services. These providers are bound by strict contractual obligations to protect your data.

We may also disclose your personal information if required by law, subpoena, or to protect the safety, rights, or property of OpenArc or others.

We implement reasonable administrative, technical, and physical security measures to safeguard your data. However, no internet transmission or electronic storage method is guaranteed to be 100% secure.

Our Site is not intended for children under 13 (or 16 in certain jurisdictions). We do not knowingly collect personal data from children. If you believe a child has provided us with personal information, please contact us at contact@openarc.net, and we will promptly delete it.

We may update this policy periodically to reflect changes in our technology stack, operational practices, or legal requirements. Updates will be posted on this page with a revised “Last Updated” date.
