From Agile to AI: Redefining Software Requirements for Faster, Smarter Development

Software development is evolving at a breakneck pace. As we navigate 2026, the integration of AI is no longer just a novelty—it is fundamentally changing how we turn complex business requirements into tangible, working software.

To understand where we are going, it helps to look at where we have been. Let’s explore the traditional approach to custom software development, the pain points that slow projects down, and how OpenArc’s new AI-driven methodology is delivering faster, more cost-effective results.

The Classical Agile Approach: The Foundation of Custom Software

In the classic Agile methodology, the Business Analyst (BA) is the bridge between a client’s vision and the development team's execution. To set a baseline for how AI is changing the game, here is a look at the traditional workflow:

Defining Scope and Gathering Requirements Early in the process, BAs meet with clients to define the foundational elements of the software:

  • Personas: Who are the end-users utilizing the new system?
  • Technology: What are the technical restrictions, integrations, and framework requirements?
  • Processes: What underlying business goals and daily processes must this software support?

Armed with this information, the BA defines a clear set of features. These features are then planned out on a roadmap based on development dependencies. The goal is to establish an Agile, iterative process so we are constantly delivering value—often starting with a Minimum Viable Product (MVP). Feature lists give all successive team members a holistic view of the software, while the BA works with designers to mock up key views that provide clarity for both the developers and the client.

Creating Tickets Next, the BA breaks down features into trackable work items in Jira. At the end of the day, the most important thing is ensuring the developer understands the client’s expectations. To do this, the BA must anticipate questions: How should the user be presented with this information? What are the edge-case scenarios? How do we protect the user experience?

Every feature is divided into tickets that are small enough to maintain project flow, complete with strict acceptance criteria for developers and QA testers.

Refining Tickets & Managing Features Before a line of code is written, tickets are reviewed with the client to finalize details and ensure alignment. From there, the BA continuously manages the roadmap, writing new tickets to ensure developers are never blocked. Developer idle time hurts project efficiency, so the BA acts as a constant facilitator between the client and the tech team.

The Pain Points of the Classic Agile Method

While the classical Agile approach is reliable, it is not without friction. In practice, several pain points frequently emerge:

  • The UX vs. Technical Disconnect: When BAs gather requirements, the conversations are naturally human-centric, focusing heavily on user experience. However, this doesn't always translate cleanly into technical execution. For example, a BA might write a single ticket detailing how a complex formula calculates and displays results to a user. A developer, however, might prefer to split the underlying data logic and the front-end display into separate tickets. This mismatch creates a persistent disconnect.
  • Missing Technical Requirements: BAs come from diverse backgrounds, and not all possess deep engineering expertise. Without constant input from a Tech Lead, vital technical documentation—such as specific library parameters or third-party API integration rules—can easily be left out of a ticket.
  • The Information Chokepoint: On smaller teams, deep project knowledge has a habit of consolidating into one person’s head (usually the BA). This creates a massive chokepoint for information access, slowing down developers who have to wait for answers. It also introduces significant project risk if that individual becomes unavailable.

The New AI Requirement Approach by OpenArc

The industry is experiencing a massive paradigm shift. According to Anthropic's 2026 Agentic Coding Trends Report, "software development is evolving toward a model where human expertise focuses on defining the problems worth solving while AI handles the tactical work of implementation".

At OpenArc, we have developed a new AI Requirement Approach that eliminates the friction of the classic Agile model:

How Our Process Works:

  1. Centralized Ingestion: Information is collected and ingested directly into a project wiki. We discuss each feature, its intended behavior, and the various areas of the software it affects.
  2. Intelligent State Pages: The wiki automatically maps this data and divides it into separate "state pages" covering all different areas of the software.
  3. Logical AI Generation: Requirements are generated based on the provided information in a format that is highly logical for both human developers and AI agents to utilize.
  4. Agent Implementation: These requirement documents are divided into individual work items. AI agents then implement the work under the strict guidance and review of our senior developers, who track progress and status.

The Benefits of the AI Approach:

  • Democratized Information: Project knowledge is no longer locked in one person's head. It is distributed across a dynamic wiki. Developers can ask their AI agent questions directly and have it instantly source information that has already been reviewed by the client.
  • Standardized Output: Requirements are presented in a unified format optimized for AI development, completely removing the discrepancies and confusion caused by tickets written by different users.
  • Effortless Alignment: Technical and business requirements are perfectly aligned by the AI, eliminating the need for massive, hours-long collaboration meetings that eat away at your budget.

Accelerate Your Next Project with OpenArc's AI Services

The advantages of leveraging AI in development are undeniable. Recent McKinsey research shows that generative AI allows software developers to complete coding tasks up to twice as fast, and 2026 industry data reveals that 90% of professional developers are now utilizing AI coding agents in their workflow.

For our clients, this translates directly to the bottom line:

  • Lower Budgets: Time in software development is usually billed hourly. Because AI agents work in parallel, we can accomplish significantly more work in the exact same amount of time.
  • Faster Delivery: Unblocked by traditional bottlenecks, AI agents execute efficiently to deliver market-ready value much faster.
  • Cheaper Rework: Because overall development time is so drastically reduced, the historical cost penalties associated with project pivots and rework are dramatically minimized.

Software Development Opportunities with OpenArc:

  • New Custom Software: We practice what we preach. The new OpenArc website was developed from the ground up using this exact AI requirement process. By feeding the AI our business requirements alongside strict technical considerations for SEO and Accessibility, we achieved phenomenal results right out of the gate.[Insert Lighthouse Score Image Here]
  • Existing App Modernization: You don't have to start from scratch to see the benefits of AI. We recently utilized AI agents to upgrade an existing legacy application to the latest packages and frameworks. The result was a modernized app delivered on a highly affordable budget with an incredibly quick turnaround time.
